About this policy
This policy explains how Sword and Crown LLC collects, uses, and discloses personal information when you
browse our website, purchase merchandise, request or book services, subscribe to updates, or contact us. It
covers our business practices; platforms you use directly may also apply their own privacy notices. Contact
info@swordandcrownsalon.com or 205-259-6911 with privacy questions. Our address is 2142 Tyler Road, Suite
104, Hoover, AL 35226.
Information you provide
Depending on your interaction, we collect your name, email address, phone number, billing and shipping details,
order and appointment history, service preferences, communications, and information you choose to include in
forms. Service intake may include allergies, sensitivities, relevant health history, hair-loss or scalp concerns,
measurements, service notes, and photographs when needed for the service or separately authorized. Please do
not send detailed medical records, government identification numbers, or complete payment-card details
through general contact forms, email, or text.
Payment, booking, and online store information
We use Shopify for our online store and Vagaro for booking and service-management functions. Payment
providers process payment credentials. We may receive transaction confirmations, payment status, limited card
identifiers, and information necessary to manage payments, refunds, authorized deposits, and agreed
cancellation charges. Where a card is saved, it is handled through the payment provider’s supported systems
rather than stored by us as a full card number. Shopify and Vagaro may process data for us and may also process
data for their own purposes under their notices when you interact with their services directly.
Website and device information
Our website and the platforms that support it may collect technical information such as IP address, browser and
device type, pages requested, time of access, referring links, and cookie identifiers. Cookies and similar
technologies help maintain security, shopping-cart functions, preferences, and website operation. Optional
analytics or advertising technologies, where enabled, can collect browsing and interaction information. The
specific optional tools and available consent controls are described in the website’s cookie or privacy settings
when provided. We obtain consent for optional technologies where required.
How we use information
We use information to fulfill orders, arrange services, personalize fittings and care, communicate about your
requests, process payments and refunds, maintain records, prevent fraud, improve website operation and
service quality, and comply with applicable obligations. We send promotional email or text only under the
applicable signup or permission process. Relevant service information is used to plan and deliver appropriate
care, not to publish your diagnosis or personal story.
Who receives information
We disclose information as needed to authorized staff and service providers supporting hosting, online sales,
booking, payment processing, communications, shipping, customer support, and business administration.
Relevant service information may be shared with the technician involved in your care. We may disclose
information to professional advisers, authorities, or others where legally required, necessary to protect rights
and safety, or connected with a business transfer subject to appropriate safeguards. We do not authorize
unrelated marketing use of the sensitive health details or private service photographs you provide to us.
Marketing and your choices
You may unsubscribe from promotional email using its unsubscribe link or by contacting us. If you separately
enroll in promotional text messages, follow the opt-out instructions in those messages; reply STOP where
supported. Message frequency varies and message and data rates may apply. Marketing consent is not a
condition of purchase. Opting out of marketing does not stop necessary order, appointment, payment, or
service communications permitted by law. We do not share mobile opt-in consent with other businesses for
their independent text marketing; service providers may process it to deliver our messages.
Cookies, advertising, and privacy requests
You can manage cookies through your browser and any website privacy controls provided. Blocking necessary
cookies may affect checkout, sign-in, or booking functions. Where applicable law gives you rights concerning
access, correction, deletion, portability, sensitive information, or opt-out from targeted advertising or data
sale/sharing, contact info@swordandcrownsalon.com. We will assess the request, verify identity where
appropriate, and respond within the applicable period. Some information may need to be retained for
transactions, legal duties, safety, or dispute resolution. We do not discriminate against you for exercising
applicable privacy rights.
We do not sell client lists for payment. Some optional advertising or platform data uses can be treated as sale or
sharing under privacy laws even without payment. Where these uses are enabled, applicable opt-out and
consent controls must be available. Where required, we honor recognized browser opt-out preference signals,
such as Global Privacy Control. These rights and controls depend on the applicable law and the processing
involved.
Photographs and personal stories
Receiving a service does not automatically give us permission to use your face, scalp, before-and-after images,
or story in advertising. Promotional use requires separate permission stating the intended uses. Contact us to
discuss changing future use; limits may apply to materials already distributed or uses covered by an existing
release. We will explain those limits rather than promising that previously published material can always be
recovered.
Retention, security, and international processing
We retain information for as long as reasonably needed to provide services, maintain transaction and service
records, address disputes, and meet applicable obligations. We use reasonable administrative, technical, and
organizational safeguards appropriate to the information involved. No system is completely secure. Our
providers may process information in the United States and other countries, where privacy laws can differ. We
address transfers as required by applicable law.
Children and external services
Our website and newsletter are intended for adults and are not directed to children under 13. A parent or
guardian should contact us to arrange services for a minor and provide any required permission. If you believe a
child under 13 submitted information online without appropriate authorization, contact us so we can investigate
and take appropriate action. External websites, social platforms, and payment or booking services may have
their own terms and privacy practices.
Changes and contact
We may update this policy to reflect our practices or legal requirements and will display its effective date when
published. We provide additional notice or obtain consent where required for material changes. For questions
or requests, email info@swordandcrownsalon.com, call 205-259-6911, or write to Sword and Crown LLC, 2142
